Workspace and logbook settings
Rename your workspace, set its date format and measurement system, choose the regulator ruleset and decide which entry fields are used.
Workspace settings apply to everyone in a workspace. In your personal workspace that is just you. In a club, only the club's admins can change most of them.
To open them, click the workspace name at the top of the sidebar and choose Settings.
General
Workspace identity is the name and image people see throughout Pilot Lab.
Workspace address is the part of your workspace's web address that names it. Changing it redirects everyone to the new address.
Regional defaults set shared conventions for the workspace:
- Date format: Day / month / year (DD/MM/YYYY) or Month / day / year (MM/DD/YYYY).
- Measurement system: Metric or Imperial.
- Timezone, in club and other shared workspaces. A personal workspace uses the timezone in your own preferences instead.
Choose Update settings after editing. Only a workspace admin can change these, and in your personal workspace you are the admin.
Logbook settings
This page decides how your logbook calculates and which fields an entry uses.
Logbook compliance ruleset
The ruleset is the set of regulator rules Pilot Lab uses to calculate derived values in your logbook, such as how flight time is split and how currency is worked out.
- Authority: the list shows each authority Pilot Lab has an active ruleset for. Today that is New Zealand CAA.
- Ruleset version: the authority's current version, marked (active). You do not choose it. Pilot Lab always applies the authority's active version.
After changing the authority, choose Apply ruleset. Pilot Lab recalculates the derived values across the workspace in the background. The badge beside the heading shows its progress: Queued, Running, Completed or Failed. Your raw flight records are not changed by a recalculation, only what is worked out from them.
Only New Zealand rules are available today. If you fly under another authority, you can still keep your logbook in Pilot Lab, but its calculations follow NZ CAA rules. See the rule references under Training and licences before relying on a derived total for a regulatory purpose.
Entry field requirements
This table lists the built-in fields a logbook entry can have, and sets each one for everyone in the workspace:
- Visible required: the field must be filled in.
- Visible optional: the field is there when you need it.
- Hidden: the field is not available anywhere. It cannot be entered, is not returned, and is not exported.
Fields listed under Always required by this ruleset carry a lock. The regulator's rules require them, so they cannot be hidden.
Custom fields
Custom fields lets you add your own fields to flight entries, for things the built-in fields do not cover, such as oil uplift or a training reference. Each field has a name and a type: Text, Number, Boolean or Date.
Custom fields are for your own records. They do not change regulatory totals, currency or exports.
Other settings pages
The same settings area also has Billing & Plans (admins only), Exports, Cloud backup, Calendar sync, Opening totals, Progression, Endorsements and AI assistant. In your own workspaces, Progression is left out of the list while your training features are hidden in your preferences (see How you fly). A club always shows it. Billing is covered in Upgrade to Pro and manage your subscription.
Deleting a workspace
At the bottom of the General page, Delete this workspace permanently removes the workspace and everything in it. It cannot be undone. Export anything you want to keep first. See Export your data or close your account.
