Organise your documents
Find files by category, folder, label or flight, move them between categories, attach them to flights and delete what you no longer need.
The Documents page has three panes: the list of categories and folders on the left, your files in the middle, and a preview of the selected file on the right.
Find a file
The left rail filters the file list:
- All files shows everything.
- Unlinked shows documents that are not attached to any flight. The count turns amber when there are some, as a nudge to file them.
- Folders lists the eight categories: Preflight, Aircraft, Certifications, Medical, Training, Attachments, Photos and Unfiled. Expand a category to see the subfolders you have created in it.
- Labels appears once any document has a label, with a count for each.
Files in the middle pane are grouped by when they were added: Today, This week, This month and Earlier. Each row shows the file type (PDF, IMG, DOC, CSV, GPX or TXT), the name, category and size, and on the right any label, an Expired badge if the document's expiry date has passed, the flight it is attached to (or Unlinked), and the date added. An amber dot at the start of a row means the file is not attached to a flight.
Hover a row for quick Open and Download buttons.
Keyboard
When you are not typing in a field, you can use j and k (or the arrow keys) to move up and down, Enter to open the highlighted file, and Esc to close the preview.
Preview a file
Select a file to open it in the right-hand pane. Images and PDFs display in place. The side panel shows:
- the name, category, size, and Expired if it has lapsed,
- Open and Download buttons,
- Labels, which you can add, recolour or remove here,
- Linked flights, each with its registration, route, date and hours,
- File details: category, type, size, date added, the expiry date if one was set, the folder and who uploaded it.
The double chevron at the top left closes the preview.
Move a file to another category
Drag a file row onto a category in the left rail. The file moves straight away.
Create a folder
Choose New folder at the top of the page, pick the category and name the folder. A folder exists once there is a file in it, so creating one takes you straight into an upload with the folder filled in. You can also type a folder path in the Subfolder field when uploading.
Attach a file to a flight
- Select the file.
- In the preview toolbar, choose the link icon (Attach to flight).
- In Link document to a flight, pick one or more flights and choose Save.
The flight then lists the document in its Attachments section. To detach it, open the same dialog and untick the flight.
Delete a file
Select the file, choose the bin icon in the preview toolbar, then confirm with Delete. The file is removed from your documents and stops counting towards your storage.
Receipts, fuel slips and photos are most useful attached to the flight they came from. Working through Unlinked every so often keeps them findable from your logbook.
