Club workspaces

A club workspace runs a flying club's bookings, fleet, members and instruction. Clubs are set up with the Pilot Lab team. Contact us to set one up.

A club workspace is a separate kind of workspace for running a flying club. It sits alongside each member's own personal logbook. The club gets its booking sheet, fleet, member records and instruction in one place, and each pilot keeps their logbook, which stays theirs.

Setting up a club

Club workspaces are set up by the Pilot Lab team, not created from inside the app. That is deliberate: we set each club up with you, so its aircraft, members, instructors and permissions are right from the first booking.

Contact us to set up a club. Tell us the club's name and roughly how many aircraft and members you have, and we will take it from there.

Pricing for clubs is separate from the personal Free and Pro plans. It is based on the modules a club uses, not on the number of members. Ask us for details when you get in touch.

What a club workspace has

What each person sees depends on the permissions the club gives them (see Run your club: roles and permissions). The club opens on its Overview, the club's dashboard. The sidebar then groups the main areas:

  • Operations: the Dashboard, Bookings and Notices. Bookings is the club's booking sheet, by aircraft or by instructor, with sign-out and sign-in of aircraft. See Club bookings.
  • People: Members, the member directory for the people who manage members, and Staff.
  • Instruct, for the club's instructors: their students, schedule, lessons, debriefs, milestones, sign-offs, notes and reports.
  • Training: the training programmes the club runs, with their enrolments, lessons and training documents.
  • Fleet: Aircraft and Maintenance, with each aircraft's status (Available, Booked, Flying, Maintenance or Grounded), tech log, defects and maintenance.
  • Finance & Admin: Sales, Reports and Mailing.
  • Admin: Membership, where club administrators handle invitations and applications.

A club workspace also has Notes & Documents and a Wiki, like a personal one. Club workspaces get the larger document limits (5 GB, 50 MB files) as standard.

Your personal logbook and the club

Joining a club does not move your logbook into it. Your personal workspace stays yours and keeps its own plan, Free or Pro.

What does flow is your club bookings. When the club books you on a flight, it appears in your personal workspace as a planned flight, with a draft logbook entry ready for you to complete after you fly. The club cannot see or change the rest of your personal logbook. See What your club can see.

Switching between workspaces

Once you belong to a club, it appears in your workspace switcher next to your personal workspace. Pick it to open the club, and pick your personal workspace to get back to your own logbook.

Clubs are new
